Trust Management

The Enterprise and Supplier Development (ESD) course is mutually beneficial to both your organisation and your suppliers. It aims to lower procurement costs, increase the quality of a product, improve service delivery and positively impact the scorecard. Improving the ESD scorecard by socialising small Black-owned suppliers into the company supplier base and developing the relevant training programmes for such suppliers.

  • Prepare and maintain quarterly compliance register
  • Monitor compliance with register and institute remedial action as and when required
  • Liaise with the trustees and founder as required to set-up an annual calendar
  • Facilitate trustee meetings
  • Prepare and distribute notices for meetings
  • Prepare and distribute board presentation packs and agendas
  • Attend Trustee meetings, keep attendance register and keep minutes
  • Distribute minutes post meetings for commentary
  • Update minutes for commentary
  • Ensure minutes are accepted at next meeting and minute book updated
  • Liaise with the Trustees as required to confirm the Trustees have prepared an annual budget and ensure same is placed on record
  • Liaise with the Trustees as required to confirm the Trustees have been keeping books of accounts and records, which includes the Trustees ensuring that monthly bank reconciliations and quarterly books of account are prepared
  • On a quarterly basis, Trustees to review and sign-off the monthly bank reconciliations and quarterly books of account to Trustees. Ensure same is distributed, signed off and placed on record
  • Trustees to ensure annual financial statements are prepared for auditors, manage timelines and deliverables
  • Trustees to liaise with auditors to finalise annual financial statement audit
  • The Trustees to liaise with auditors and obtain confirmation of income tax registration and filing of annual income tax returns. Manage timelines and deliverables
  • Facilitate the record retention and safekeeping as required by the Trust Deed
  • Prepare and compile BEE verification support file, including but not limited to; obtaining relevant support for Trust’s compliance with the Broad-Based Ownership Scheme requirements as set out in the Codes
  • Transaction documents in support of economic interests and voting rights held in the Founder, nature of instrument held, the balance of acquisition debt outstanding (if any).

  • Support for economic benefits received by the Trust
  • Support for use/deployment of economic benefits received by the Trust, including a beneficiary register.

Beneficiary Management

  • Review of Trust Deed to identify and understand objects of Trust
  • Liaise with the founder and the Trustees to identify potential beneficiaries and initiatives that are in line with the Trust objectives
  • Confirm distribution of funds to beneficiaries as approved and instructed by Trustees and in accordance with Trust Deed
  • Collect relevant information and support from beneficiaries to keep and maintain Beneficiary Register
  • Facilitate annual general meeting of beneficiaries
  • Prepare and distribute notices for annual general meetings
  • Prepare and distribute presentation packs and agendas
  • Attend annual meetings, keep attendance register and keep minutes
  • Ensure presentation of annual financial statements at meeting
  • Distribute minutes post meetings for commentary
  • Update minutes for commentary
  • Ensure minutes are accepted at next meeting and minute book updated
